This would help you as the medical administrative assistant to determine as to when will you start the following up and for how long. A timetable will always be reliable for everyone, especially to your supervisor since it gives him a general idea as to what part of the following up is currently taking place and would save time for your supervisor to ask more questions to you in the process. Either the people involved in the meeting would report to you in a timely manner or you do a timely check-up to their performances that involves what transpired during the meeting.
